Saving and removing old attachments

There comes a time in every person's life when you look in your attic and decide to sell all of your stuff at a garage sale. E-mail, like your stuff, works in the same way. Not only will keeping every e-mail and attachment slow down your e-mail service, it also begins to add more cost to the e-mail service.

E-mail at UNCG is a paid for service. Every department pays a certain amount of money for the amount of space that they use. There are various methods the Jackson Library can cut down on IT costs. One of those methods is to save space on IT servers. This document will show you how to safely remove attachments to your local computer.

Pre-Instructions:

  1. If you do not already have a folder you use to keep your attachments, create a folder on your computer where you can easily save/retrieve your attachments.
  2. Determine if you are using:
    • Lotus Notes Desktop Client
    • Lotus Notes Web Client

Instructions: Lotus Notes Desktop Client

  1. Open the e-mail with the attachment you would like to remove
  2. Go under the ATTACHMENT menu and select SAVE AND DELETE
    Save and Delete image
  3. Select the folder you would like to save the attachment
    Save As image
  4. Click on SAVE
  5. You are done!

Instructions: Lotus Notes Web Client

  1. Open the e-mail with the attachment you would like to remove
  2. Click on the DISK button above the attachment window
  3. Select the folder you want to save your file to
  4. Click on SAVE
  5. Click on the EDIT button at the top of your e-mail window
  6. Click on the TRASH CAN button to delete your attachment
  7. You are done!

Notes:

Your e-mail will retain the name of the attachment at the bottom of your e-mail message. If you need the attachment in the future, simply open the e-mail message, find the name of the attachment and look in your designated folder.
